Operations Assistant


 

BFT Mastclimbing is looking to appoint an Operations Assistant to join their Leighton Buzzard office team and be responsible for assisting the Operations Manager and other members of the Operations team to ensure the smooth running of the business.

Our ideal candidate will have experience of a similar role and will have excellent Microsoft Office skills, in particular Excel (including basic formulae and filtering). They should also be extremely organised and have excellent communication skills. To do the job well they will need to be a team player, be resilient and be flexible to meet the demands of the business. they will be confident, proactive, able to get on with tasks independently with strong attention to detail. For the right candidate there will be scope to develop the role as the company continues to evolve.

BFT are specialists in the design, supply and maintenance of access equipment in the form of mastclimbers and hoists for the construction industry and have a great reputation across the UK. We have experienced a period of rapid growth and seek to continue this growth whilst maintaining our dominance within the industry.

Duties and responsibilities will include:

  • Monitor administration emails and respond promptly
  • Monitor the breakdown/service inboxes and arrange for engineers to attend site
  • Communicate via phone with breakdown engineers to inform them of call out information
  • Email costs to customers for replacement parts
  • Raise breakdowns and assign them to engineers on the Syrinx system
  • Email customers with upcoming service requirements and booking access to MCWPs
  • Schedule/raise service jobs for engineers on the Syrinx system
  • Close down/sign off engineer servicing jobs on the Syrinx system
  • Close down MCWP handover documents via the Syrinx system and email them to customers
  • Raise partial off hires of MCWPs on the Syrinx system and complete once the dismantle sheets are received
  • Create and maintain an accurate record of all CVI`s and site instructions
  • Chasing site instructions from clients
  • Create and maintain project filing system within the southern office
  • Support the Operations Manager with project applications to ensure correct monies are claimed for each month
  • Create monthly reports to summarise servicing and breakdown figures for management
  • Preparing generic RAMS documents
  • Help and support for Supervisors whilst on site – machine configurations using manuals, emailing information etc
  • Reply to clients regarding jobs to gain more information, or details to update in house systems
  • Upload details onto the cloud – project info, reports, photos, etc.
  • Where possible liaise with the Operational team with practical/industry advice to get jobs running smoothly
  • Maintaining a safe, clean, and organised environment in the office
  • Maintain levels of office supplies
  • Carry out other similar tasks as and when required by the operations team
  • Any other duties commensurate with the role

Job Types: Full-time, Permanent

Salary: £21,800.00-£24,000.00 per year
