Job Title: Operations assistant
Job Location: Medwyn Surgery
Responsible to: Practice Business Manager
Main Purposes of the Post:
- To assist the Operations Manager in ensuring the day to day smooth running of Medwyn Centre.
- Building and Facilities management
- Compliance
Major Duties and Responsibilities:
- Deputise for Operations manager
- Equipment calibration
- CCTV
- Responsible for servicing, maintenance and warranty of contracts regarding equipment within the building.
- Organising of the Fire Wardens and implementing procedures for all Fire Wardens.
- Liaising with electricians with regards to all Medwyn annual PAT test
- Dealing with Chubb regarding the maintenance of fire extinguishers
- Liaising with the insurance company regarding the lifts.
- Legionella work – run little used taps and water temp readings monthly
- Arrange contractor activity as per TeamNet schedule
- To oversee contractors to maintain the building and gardens
- Manage contractors with regards to building maintenance i.e. electricians, plumbers etc.
- To manage the redecoration process and manage contractors in this regard.
- Liaise with air conditioning supplier with regard to maintenance of units
- Identify and resolve building issues
- Ordering and changing light bulbs
- Changing break glasses in access controlled doors
- Maintaining door guards
- Arranging handyman work flow and movements
- Manage cleaning contractors
- Troubleshooting of IT and printer issues
- Troubleshooting of phone issues
- NHS mail problems
- Jayex call boards in waiting room
- Check-in screens front lobby
- Communicating with Newmans regarding scanning issues and managing figures for billing purposes
- To maintain photocopiers and send off current readings to supplier
- To maintain scanners
- Maintenance of franking machine including figures for billing purposes
- Proxy access for care homes
- Fire safety officer
To undertake any other duties which are commensurate with the level and responsibilities of the post.
To actively and continuously review all activities and suggest areas for improvement.
